Program Event Registration Guidelines Getting Started:
Look through your Fishbowl Booklet or browse the internet calendar.
Make a decision about which event(s) you want to attend with your
troop or by yourself. Even if you're a part of a troop you can participate
in a program event as an individual. Remember to get a firm commitment
from your parents/guardians.
Registration
Deadline: The registration deadline date is the
last date that completed registration forms and payment is accepted.
Each event has its own deadline. Some museum programs require
a two months registration deadline. The number of girls interested
in participating from your group/troop need to be confirmed at the
time of registration with full payment, this is your final number.
Additional girls or a replacement may be allowed depending
on availability and the wait list, but this is not guaranteed.
Registrations without participant numbers or full payment will not
be processed until full payment has been made.
The number of participants registered by the registration deadline date determines whether a program is cancelled and helps Program Coordinators prepare appropriately for the event. Registrations may still be accepted after the registration deadline date with FULL payment if the minimum attendance has been met and space is available, but this is not always possible. If you are interested in a program and the deadline has past, contact the registrars department at 800-654-1270 for availability. It may still be open. Remember events may fill before the registration deadline. Checks will be deposited as they are received. This does not guarantee placement.
Individual Registrations: Send in full amount for the event at the time of registration and don't forget you'll need a chaperone unless the event says otherwise.
Confirmation:
You will receive a confirmation letter after your registration
form and payment have been processed and minimum numbers have been
met for the program. An event guide will be sent out 3 weeks prior
to the event. We can not guarantee space or that your will receive
a confirmation packet for registrations made less than one week
before the event.
Fees:
Fees will be listed as per girl or per adult or per person. Cookie
Dough can be used to pay for up to 50% of the cost of the girl participant
fee for events listed in the Fish Bowl. Full payment is
required at the time of registration. Please send in Cookie Dough
at the time of registration. Cancellations: Full payment is required
at registration. You are responsible for the number of girls and
adults on your registration form. If you cancel and there is no
wait list, there will be no refund. Cancellations must be done by
the registration deadline of the event for a refund if there is
a wait list. A refund of the fee will be given only if a troop or
individual cannot be place in the event by GSSWC. If there
is severe weather the day of your event (snow, sleet, freezing rain),
do not leave for the event before 8 AM for a day event or 2PM for
an evening/overnight event. When in doubt, delay your departure.
It is better to arrive late than to arrive at the event location
to find the program has been cancelled. The Event Director will
contact the program department staff regarding the possibility of
canceling the event and rescheduling. You will receive a call if
the event is cancelled. If the event is cancelled, an alternative
date will be rescheduled. The Program Department staff at Swift
Water Service Center will handle rescheduling of the event. If the
event is not cancelled and your group chooses not to go, your fee
cannot be refunded.
Limited Space:
In order to allow for as many girls as possible to participate in
events, registration is only open to girls and the required ratio
of leaders/chaperones necessary to safely supervise or transport
the girls as stated in Safety-Wise. When "Supervision included"
is part of the description, council has provided the require ratio
of adults to supervise the event, therefore, additional adult supervision
at the event is not necessary. This policy is to accommodate the
request from girls to have some events without leaders/advisors
in attendance, please be respectful of this. We are unable to accommodate
younger siblings, non participating youth or additional adults,
they are not insured and those spaces are needed for girls.
Pre-requisites: A certified First Aid/CPR Adult is required for all events that adults attend with girls. Other pre-requisites will be listed in the program description. BOLS: Basic Outdoor Living Skills may be listed.
Financial Aid is available for girls. Please download the financial aid form or call the Program Department to request a copy.
Swift Water events can accommodate participants with most special needs. Please contact the Program Department prior to registering to discuss how we can best meet the special needs of any girl or adult.
